Built around how Porchfest actually gets planned.

The planning hub built for Porchfest organizers.

Bring your artists, hosts, assignments, schedule and map together — and give your whole organizing team one place to see how the event is coming together.

Keep using the forms, spreadsheets, maps and website tools that work for your team. Porchfest HQ helps take the repetition and manual upkeep out of matching artists and hosts, checking potential sound conflicts, building your schedule and keeping your event map current.

Porchfest HQ · Conflict Map
The Porchfest HQ Conflict Map. Five porches are pinned on a neighbourhood map, each act's volume drawn as a circle around the porch it is playing. Two circles overlap deeply and are shaded red, and the panel beside the map counts one conflict in the one-to-two o'clock slot with a button to mark it fine.

Resolve conflicts without rebuilding the plan. Easily move artists to where and when they work best. Your Assignment Board, Public Map and Schedule all stay in sync.

Built from real Porchfest experience.

Porchfest HQ grew out of five years helping organize Porchfest Edmonds — and watching our team spend countless hours reconciling spreadsheets, matching artists and hosts, checking sound conflicts and rebuilding maps after schedule changes.

If your “final” spreadsheet has ever been named ...Final-v3-NEW.xlsx, Porchfest HQ will be a breath of fresh air.

Less rework, not less organizing.

Spend less time matching, updating and rebuilding — and more time shaping the event.

Porchfest HQ doesn’t replace the judgment, relationships and local knowledge that make a great event possible. It reduces the overhead around the work your team already does well.

Conflict Map

See the overlap before the neighbors hear it.

Every act carries a volume level, and every volume level becomes a radius around the porch it’s playing. Step through the day one slot at a time and let the circles show where to look.

  • Clear — circles don’t touch
  • Soft — a slight overlap, usually fine
  • Hard — a deep overlap, move one of them

Anything you decide is acceptable, you mark fine — and it stops asking.

Conflict Map · 1–2 pm
The Conflict Map, animated. Two porches on Maple Street have overlapping volume circles shaded red; an organizer drags the act Two Cedars from porch 2 across to porch 4, the deep overlap disappears, and the remaining slight overlap is marked fine. The slot summary drops from one conflict to none.

Assignment Board

Drag an act onto a porch. That’s the whole workflow.

Hosts down the side, time slots across the top. Drag to place, drag again to move, pin the ones that are locked in. Every cell shows its conflict state as you build, so you’re never scheduling blind — and the map updates the moment you let go.

Assignment Board
The Assignment Board: five host porches down the left, three afternoon time slots across the top. Placed acts show their volume level and conflict state — two flagged as hard conflicts, two as soft — and a side panel ranks suggested acts for the selected open cell.
Conflict Map · Porchfest Auto-Match
Porchfest Auto-Match running on the same neighbourhood map. Acts are seated across the porches one after another, each volume circle settling clear and separated, until the slot summary reads three playing and zero conflicts. An Undo Auto-Match button appears beside the Auto-Match button.

Start with a schedule, not a blank board.

Let Porchfest Auto-Match build a first draft. You make the final call.

Auto-Match uses the information your team already has — artists, hosts, availability and artist volume level — to create a useful starting point.

Then your team does what it does best: apply local knowledge, make tradeoffs and shape the event you want. Every assignment it proposes is yours to change, and one button puts it all back.

Public Map & Schedule

The part your town actually sees.

When the schedule settles, the same data becomes the attendee map and schedule — porch pins, act names, road closures, first aid, restrooms, ADA parking and info booths.

Frame it, pick landscape or portrait, and download it at print resolution for the program or at web resolution to embed on your own website.

Public Map
The attendee-facing map: numbered porch markers, a food truck, an info booth, a restroom, and a road closure drawn across one street, with a legend and layer toggles for host locations, host names, points of interest and road closures. Export options offer 96, 72 and 300 dpi.
Public Schedule
The attendee-facing schedule table: each host porch as a row, each time slot as a column, with the act playing and its genre in every filled cell. Buttons above offer copying the table or embedding the HTML.

Questions organizers ask

Quick answers to your most common questions.

If you still have a question, drop us a note below. We’re here to help.

Is Porchfest HQ a subscription?

No. Porchfest HQ is licensed per event. Community is $249 per event and Breakout is $499 per event at standard pricing. The current Founding Organization offer reduces the organization’s first event to $149 or $299, depending on event size.

Do we have to replace our Google Forms, spreadsheets or website?

No. Keep using the tools that work for your organizing team. Porchfest HQ is the planning hub in the middle: import the relevant information, make assignments and schedules, check geography, then export or publish what you need.

Does Porchfest HQ host our website?

No. Porchfest HQ is designed to help organizers plan, schedule and coordinate their event — not replace their existing website.

As you build your event in Porchfest HQ, it automatically creates a public-facing schedule and interactive map. You can share these directly with attendees, add them to your existing website, use the event information for printed materials, or export locations to Google Maps.

That means your team can keep using the website and tools you already have, while Porchfest HQ helps with the complicated work of organizing the event behind the scenes.

Does Porchfest Auto-Match decide our schedule for us?

No, but it helps you get started. It builds a useful first draft from the information available. Your organizing team makes the final call and can change every assignment.

Does the Conflict Map guarantee we won’t have sound conflicts?

No. It flags potential sound conflicts and areas worth a closer look. Real-world acoustics are contextual, and your team may know things about a street, building or terrain that software cannot. Porchfest HQ is designed to let you apply that knowledge.

What counts as an “act” for pricing?

One participating artist or group counts as one act, regardless of how many individual musicians are in that group. A trio is one act. A solo artist is one act.

What happens when our event grows past 50 acts?

You can upgrade that event from Community to Breakout and pay the difference between the applicable tier prices. If the event grows beyond 150 acts, the Headliner tier uses custom pricing and capacity.

Can we use what we learned this year when we start next year?

Yes. Porchfest HQ is designed to carry useful roster, location, setup and local knowledge forward while leaving year-specific scheduling decisions fresh. Each new event gets its own event license.

What limitations does Porchfest HQ have today?

Porchfest HQ is still evolving, and there are a few things it doesn’t support yet:

  • Half-hour scheduling: Time slots currently need to start and end on the hour — for example, 1–2 PM, 2–3 PM, and so on. Half-hour start or end times aren’t supported yet.
  • Multi-day events: Porchfest HQ currently treats each day as a separate event. If your Porchfest runs across multiple days, you’ll need to set up each day individually.
  • Mobile experience: There isn’t a Porchfest HQ mobile app, and the organizer tools aren’t fully optimized for phones yet. For now, the best experience is on a desktop or laptop.

If any of these are important for your Porchfest, please let us know. They’re all areas we’re considering for future updates, and hearing from organizers helps us decide what to build next.

Built by a fellow organizer.

I hope this tool helps make it easier for communities to plan and host these wonderful events.

Porchfest events are some of the most joyful and positive events I’ve been a part of. I built Porchfest HQ after helping organize five Porchfest Edmonds events and seeing how much time our team of volunteers spent keeping everything in sync. My goal for Porchfest HQ is to reduce the administrative overhead without pretending that software knows your neighborhood better than you do.
